# Organization Settings Organization Settings is where administrators configure the account-level properties that apply across all projects and users. Navigate here via **Settings** in the left sidebar. > [!important] > Only Workspace Owners and Workspace Admins can view and modify Organization Settings. Changes here affect all users and all documents generated in your workspace. --- ## Company Settings These values appear on all externally-facing documents PAI generates — estimates, invoices, and vendor-facing materials. - **Name** — your organization's legal or trading name as it should appear on documents - **Logo** — uploaded logo appears on printed estimates and other documents. PNG with transparent background recommended; at least 400×400px for clear print output - **Address** — appears in the "From" section of estimates and the "To" section on vendor invoices - **EIN** — optional; include if you want your Employer Identification Number to appear on business documents --- ## Project Defaults These settings pre-populate on every new project created in your workspace. Individual projects can override them. - **Minimum Hours** — the default minimum hours for day-based line items across all new estimates. This defines the standard day length your organization works to — the baseline against which overtime is calculated. - **Project Scope** — standard language describing scope of work. Automatically populates the scope field on new projects and is included when estimates are printed. - **Billing Notes** — standard payment terms and billing policies. Automatically populates the billing notes field and is externalized on printed estimates. - **Internal Overview** — internal guidance for project teams. Automatically populates the internal overview field on new projects. Never included in external documents. > [!tip] > Use the Billing Notes template for your standard payment terms so producers don't have to reenter them for every project. Keep the Internal Overview template for standing operational instructions your team should see on every job. --- ## Custom Configuration **Custom Job Codes** — enables the use of job codes within your workspace. Job codes are an optional layer of reference numbering on top of PAI's automatic estimate and project numbers. See [Reference Numbers](../02-Bidding-a-Project/Reference-Numbers.md) for more detail. **Estimate Number Prefix / Project Number Prefix** — customize the prefix PAI uses for automatically assigned reference numbers. Defaults are `E` for estimates and `P` for projects. **Approved Invoice Email** — when enabled, PAI automatically forwards a PDF copy of each approved invoice to a designated email address. Useful for handing off approved invoices to an external billing or accounting system without manual export. --- ## Vendor Portal Settings **Company Instructions — information your organization wants vendors to see when they access the Vendor Portal. Typically includes your EIN, legal business name, tax address, payment terms, and processing timeline. Only vendors with accepted connections can view this. --- ## Plan & Billing Manage your PAI subscription and billing plan via the third-party billing portal linked here.
