# Tags Tags are custom labels you apply to objects in PAI to add a layer of categorization beyond what the standard fields provide. Supported object types: - **Projects** — tag projects for filtering and reporting across your portfolio - **Budget expense lines** — tag individual line items in a project budget - **Vendor profiles** — tag records in your vendor database Tags are created and managed organization-wide. Workspace Owners and Admins create and modify tags; Project Admins and Guests can apply existing tags but cannot create new ones. --- ## Tag Groups Tags belong to Tag Groups, which determine where a tag appears in the interface. Tags in a named group (e.g., "Vendor") only appear in tag fields for that object type. Tags not assigned to a group are available everywhere tags can be applied. Use groups to keep vendor-specific tags out of expense line dropdowns and vice versa — it makes the tagging interface much cleaner at scale. --- ## Creating Tags ### From within a table 1. Enable the **Tags** column if it's hidden (use the Fields control — see [Navigating PAI](../00-Understanding-PAI/Navigating-PAI.md)) 2. Double-click the tags cell on any row 3. Type to search existing tags or enter a new name 4. If creating a new tag, assign it to a Tag Group 5. Save ### From Organization Settings 1. Go to **Settings → Tags** 2. Click **+ Create Tag** 3. Assign to a Tag Group and save 4. Use the pencil icon to edit or the trash icon to delete > [!warning] > Deleting a tag removes it from every object it's been applied to across the entire workspace. This is irreversible. Archive or rename tags instead of deleting them unless you're certain the tag is no longer needed anywhere. --- ## Use Cases Tags are most valuable when your standard fields don't capture a dimension you want to filter or report on. Some examples: **Project tags:** - Content type classification (e.g., `Automotive`, `Fashion`, `Anthem`, `Comedy`) — lets you filter Insights or the project list by the kind of work, not just the client - Production type (e.g., `Photo`, `Production`, `Post`) — useful for segmenting financial performance by what you're actually making - Any dimension your organization wants to track across the portfolio that isn't captured by client, campaign, or stage **Expense line tags:** - Tracking PO numbers at the expense level (e.g., `PO-4421`) - Marking expenses as billable vs. non-billable to the client - Flagging expenses that require a specific approval process (e.g., `Legal Review`, `Client Pre-Approval`) - Categorizing by cost type beyond the standard category field **Vendor profile tags:** - Travel availability (e.g., `Local Only`, `National Travel`) - Specific skills or certifications beyond the standard job title - Availability patterns (e.g., `Short Notice`, `Weekends Available`) - Client pre-approval status (e.g., `Approved: Acme Corp`) - Payment preferences (e.g., `NET-15`, `COD Only`)
